Terms & Conditions

A contract between you and York Cottage Spa Ltd. and Rural Retreats Etc. Ltd. ("Us" and "We") will come into existence when payment is received and a booking confirmation is issued showing the confirmed dates. The contract binds you & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking, including the documents listed in Incorporated Documents (4.1). Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.

1.1

DAY SPA & SPA BREAK RESERVATIONS

Full payment is required on all online bookings for Spa Breaks and Day Spa sessions. No refund will be given for early departure unless caused by significant acts of negligence on the part of York Cottage Spa Ltd ("the Company") or its employees. Please note if booking a promotion or a discounted rate, no further discounts or offers can be applied. For spa sessions, inclusive treatments are 20 minutes long unless otherwise stated.

1.2

SPA DAY CANCELLATION

All bookings for Spa Days are non-refundable. You may reschedule, subject to availability, requests must be made via email to mail@YorkCottageSpa.com. Requests to reschedule must be received no later than 30 days before the arrival date to be considered.

1.3

SPA BREAK BOOKING CANCELLATION

All overnight Spa Break bookings for the house are refundable with at least 30 days notice. All cancellations with less notice, shall be charged a 100% cancellation fee.

2.1

WHOLE HOUSE PAYMENT TERMS

When opting to pay in 2 part payments, 50% of the total cost of your stay will be collected at time of booking. The balance shall be due 6 weeks prior to your stay. For bookings within 6 weeks, the total cost of the stay is required to secure your dates.

2.2

WHOLE HOUSE BOOKING GENERAL TERMS


  • Cancellations are subject to our Cancellation Policy, which is incorporated into these terms jointly and severally.

  • We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.

  • Your booking will not be cancelled by Us except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible. Our liability for cancellation will be limited to payments made to us.

  • No parties or events – the maximum number of persons using the accommodation at any time must not exceed 16. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.

  • Bookings cannot be accepted from persons under eighteen years of age.

  • We reserve the right to refuse a booking without giving any reason.

  • We or our representatives reserve the right to enter the property at any time to undertake essential maintenance or for inspection purposes.

  • Bookings normally commence at 4pm unless otherwise agreed and guests are required to vacate the house by 11am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests. Cleaners may attend the property from 9am to begin the checkout process.

  • Pets, vaping or smoking anywhere inside the premises will result in immediate termination of occupancy and forfeiture of all payments. This must be strictly adhered to and any damage or extra cleaning caused by pets or smoking will be at your expense.

  • Damages  â€“ In making a booking you accept responsibility for any theft, breakage or damage caused by you, or any member of your party and agree to indemnify us in full for any loss that we may incur as a result. A pre-authorised credit card will be required and pre-authorised up to £500. This will be released within 48 hours of the end of your departure. The  cost of damage/breakages will be charged to this card, unless you've settled the balance with an alternative means of payment.

  • Damages and breakages – please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The accommodation will be inspected at the end of the booking & you may be charged for any loss or damage.

  • Please do not move any furniture from one room to another.

  • Please lock the doors and close the windows when you leave the property unoccupied.

  • Please make sure you switch off lights, heating, and any electrical appliances when you go out – we’re an eco-friendly space.

  • The owner reserves the right to make a charge to cover additional cleaning costs if you leave the property in an unacceptable condition.

  • Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.

  • You may in no circumstance re-let or sublet the property, even free of charge.

  • We shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building, grounds or hot tub.

  • No compensation will be given for any temporary outage of electricity, gas, water, internet connection or television service.

  • We are not responsible for the loss of any personal belongings or valuables of the guest.

  • All inventory must remain in the property and not be taken to another property.

  • Spa Pool
    -The hot tub is available for use from 8am to 10pm daily. 
    -Please avoid using glass or sharp objects near the pool or in the Spa area.
    -Guests must shower before entering the water to rinse off creams and makeup.

  • Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision.

  • Please park your vehicles in the designated parking spaces, ensuring cars do not block access.

  • Please respect the community and try to keep noise levels to a minimum, especially between 10 pm and 7 am.

  • We reserve the right to terminate a booking without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.

  • BBQs – please use the designated BBQ utensils and clean the barbecue after use. BBQs must not be used on the lawns or grassed areas.

  • Candles are not permitted inside the house.

  • Any problem or complaint you may have concerning your accommodation or booking must be immediately reported directly to us/our representatives and we will endeavour to put matters right. Any complaints not reported to us at the time and only reported after you have left will not be considered.

  • We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.

2.3

WHOLE HOUSE BOOKING CANCELLATION

In the event of cancellation, amendment or postponement, the following scale of charges will be applicable:

– 6 months’ notice or more: the booking dates will be transferable to another available date

– 6 weeks notice or more: the deposit paid will be retained as a cancellation fee. 
– Under 6 weeks notice: full payment will be retained as a cancellation fee.
Guests who wish to cancel their stay prior to the original departure date will be charged a fee to cover the full cost of the remaining nights.

2.4

Damage Deposit 

A Damage Deposit will be required prior to your check-in, we will pre-authorise a card for £500. You will receive a link to pay this deposit 48 hours prior to your check-in. On check-out the property shall be checked and any damages will be reported to you. We reserve the right to charge you for any damages incurred to the property, furniture, or anything else within the grounds as a result of your group during your stay, these will be reported to you within 48 hours of your check-out.

3.1

GIFT VOUCHERS

Please ensure that you bring your redeemable gift voucher to present on arrival. Non presentation of voucher will necessitate a charge being made until the voucher is presented. If full or part payment for your visit is by a gift voucher this will become void if you fail to arrive. The Company will not accept responsibility for lost, stolen or damaged gift vouchers. Please treat gift cards as cash. Gift Vouchers are non-refundable and cannot be exchanged for cash, they have no cash value.

3.2

MECHANICAL / ELECTRICAL BREAKDOWNS

Any mechanical or electrical breakdowns which occur on the premises are usually beyond our control, although we will try to repair any such fault as soon as possible. No refunds will be given unless any such breakdown is due to the negligence of the Company or its employees or agents.

3.3

VALUABLES

No responsibility can be accepted by the Company for the safety of money or valuables of any kind brought to the Spa. If you do bring valuable items it is essential they are covered by your own insurance for the period of your stay. The Company will not be liable, under any circumstances whatsoever, for damage, injury or consequential loss, however caused, to our residents, their property and belongings unless it is solely due to negligence of the Company, its employees or agents.

3.4

CHILDREN & PETS

The Company regrets that we cannot allow guests to bring pets except for working animals. Please note that children under 18 must be supervised by an adult at all times, especially around the Spa Pool area. Please note under 16s are only permitted in the Spa during a Private Spa Session, or on a Whole house booking. Under 18s are not permitted on Spa Breaks.

3.5

DOCTOR

The Spa is not an alternative medical centre, and do not have a resident doctor. Guests are advised to consult with their family doctor about the need to limit or avoid our full range of treatments and facilities, for example inclusive treatments, hot tub or sauna.

The Company reserves the right to make changes to our facilities and equipment available. Notification of specific changes will be given where relevant.

3.6

HEALTH & WELLBEING

Your health and well-being is our paramount concern. We feel that you are the best person to be in control of your health. We ask that you seek professional medical advice about any conditions or concerns you have and act appropriately on this advice, even if it means not undertaking exercise, a treatment or class. We ask that you let us know if you feel unwell for any reason whilst on our premises so we can help. We request that you read and take on board any instructions information or notifications about use of equipment or the contraindications for specific treatments. You will be required to complete a consultation form prior to any treatments or access to our Spa.

These terms are subject to change at any time. Your booking and engagement of our services or accommodation indicates your acceptance of these terms, including those listed in 4.1 Incorporated Documents (above).
